Before you switch

The questions HR asks first.

Every answer here is true of what the system does today. An FAQ that overstates is the fastest way to lose the exact reader it is written for, because they will test it.

Does Talaan compute 13th month pay?
Yes, and it is a payroll run rather than a report, so it goes through the same review, approval and release, and produces a payslip like any other. It follows PD 851: the total basic salary each employee actually earned during the calendar year divided by twelve, taken only from released runs. An employee hired mid-year pro-rates itself, somebody who left in September still receives their share, and a 13th month run never feeds on a previous one.
Are SSS, PhilHealth and Pag-IBIG contributions built in?
Yes. The contribution tables are built in, with both the employee and the employer share computed every cutoff and carried straight through to the monthly remittance. Nothing is keyed in a second time to produce the schedule.
Does it handle holiday premiums and night differential?
Yes. A regular holiday worked pays 200%, a special non-working day 130%, a rest day 130%, and hours falling between 22:00 and 06:00 earn a 10% night differential computed from the employee's own clock times. A rest day that is also a holiday is paid as the higher of the two rather than both, which is the mistake that pays one day twice.
What happens when somebody never clocks in?
The day is closed overnight. Anyone who was scheduled and left no record is marked absent by a nightly sweep, so payroll sees an absence rather than an empty period. A payroll system that reads no records as full attendance pays in full somebody who never appeared, and that is found on payday or not at all.
How does leave accrual work?
Credits accrue monthly, a twelfth of the contract's entitlement, for whole months of service. An accrual is an ordinary adjustment on the employee's leave ledger carrying the period it is for, so the trail says where every credit came from and a re-run adds nothing. Approved leave writes the days it covers, so payroll sees them without anybody re-keying the dates.
Can employees see their own payslips and leave balance?
Yes. Employee self-service gives each person their own payslips, leave balance, filings, loan balances and clearance, and lets them file leave, overtime and corrections themselves. HR stops being a lookup service.
What happens when an employee leaves?
Clearance, final pay and the person's own access all move together. On the day a separation is completed the employee moves to the status their separation type means, and their login and any live sessions are revoked at the same moment, not at the end of the month and not when somebody remembers.
Can we bring our existing employee records in?
Yes. Every record module accepts a CSV built from its own downloadable template, and an import that is partly wrong is still partly applied. What failed is reported back by spreadsheet line number rather than rejecting the whole file. Passwords and internal keys are excluded from the template.
Who can see what?
Permissions are per role and per screen, and visibility is per row on top of that: a role can be scoped to everything, to its own department and the units beneath it, or to only the records that belong to that person. Somebody with no unit sees nothing rather than everything, which is the safe direction for that mistake.
Is there an audit trail?
Yes, on every record. Each create, update and delete writes one append-only history row naming who did it, when, and exactly which fields changed from what to what. Password and token fields are redacted, and nothing in the trail can be edited or removed afterwards.
Semi-monthly or monthly?
Either, per payroll period. Daily rates are computed against the period's own working days rather than against a fixed annual factor. Holidays count as working days for that divisor, so a fortnight containing one does not quietly move everybody's daily rate.
Can people clock in with their face?
Yes. Facial clock-in runs in the browser against an enrolment held for each employee, and HR can key a record by hand where that is not practical. Either way the record is checked against the schedule the employee was actually published, and it carries the method it came in by. There is no integration with a physical biometric terminal today.
